The President is responsible for: 

  •  To provide leadership: The overarching role of the chairperson is to provide leadership, they must be an effective strategist and a good networker
  • The Chairperson is responsible for making sure that meetings is planned effectively, conducted according to and that matters are dealt with in an orderly, efficient manner.
  • The Chairperson must make the most of all his/her committee members, building and leading the team.
  • This also involves regularly reviewing the Committee’s performance and identifying and managing the process for renewal of the Committee through recruitment of new members.

Secretary:  Kristy Carroll 

  • Be support person/backup to President 
  • Send Agenda one week prior to Committee meeting 
  • Send Minutes no later than one week after Committee Meeting 
  • Ensure upcoming events are documented with contact details for hosting businesses 
  • Keep committee updated on upcoming events and when next available event is 
  • Release ticketing for events and forward ticketing link to Social Media Committee Member 
  • Download list of attendees on afternoon of event 
  • Print and bring Run Sheet to each event 
  • Assist at events i.e.: check-in members; sell raffle tickets; obtain business cards; remain at end of event to help hosting business clean up 
  • Monitor and maintain Secretary email address at a minimum of once a week

Treasurer: Teresa Smith

  • Keep Quick Books data up to date 
  • Ensure float is at $100 prior to each event 
  • Bank monies taken after each event 
  • Update committee at monthly committee meetings of current financial status:
    • Monies taken at previous event
    • Current balance in bank account
    • Upcoming expenses and estimate of what they are if we haven’t been invoiced NB: Allow for previous invoice + 10% 
  • Keep track of paid financial memberships (in alignment with Membership Committee Member) 
  • Keep track of Invoices/Accounts and when they are due to ensure paid in a timely manner, Invoices/Accounts are, but not limited to:
    • Insurance (Due August) – Invoices comes to Treasurer email in July 
  • Office of Fair Trade (30 days after AGM) – bill comes to Secretary postal address
    • Web Hosting
    • Web Other 
  • Assist at events i.e.: check-in members; sell raffle tickets; obtain business cards; remain at end of event to help hosting business clean up

Events: Mikaela Smith 

  • Event Planning: Organise and plan committee events

  • Venue and Logistics: Coordinate venue selection, booking, and logistics with Hosting Business

  • Scheduling and Timelines: Develop event schedules and timelines, ensuring all activities and sessions run smoothly and on time.

  • Communication: Communicate event details to committee members, attendees, and relevant stakeholders through the Social Media Manager and Committee

  • Budget Management: Create and manage event budgets, including expenses for venue rental, catering, decorations, and other resources.

  • Registration and RSVPs: Handle event registration processes, track RSVPs, and manage attendee lists to ensure accurate headcounts.

  • Collaboration: Collaborate with other committee members to align event objectives with overall committee goals and initiatives.

  • Marketing and Promotion: Develop marketing strategies to promote events and attract attendees, utilizing channels such as social media, email campaigns, and promotional materials.

  • On-Site Coordination: Oversee on-site event coordination, including setup, registration, attendee assistance, and troubleshooting any issues that arise during the event.

  • Post-Event Evaluation: Conduct post-event evaluations to gather feedback from attendees and stakeholders, assessing the success of the event and identifying areas for improvement.

Membership: Currently with Committee

  • Work with Treasurer to monitor and maintain Memberships
  • Work with Treasurer to approach members who have registered on our website as a member but who haven’t paid
  • Work with Treasurer to approach members who have paid as a member but haven’t registered on our website
  • Be a backup if Treasurer is absent or requires assistance
  • Be a back up to Secretary for ticketing/attendee lists at events
  • Assist at events i.e.: check-in members; sell raffle tickets; obtain business cards; remain at end of event to help hosting business clean up
  • Monitor Committee email address at a minimum of once a week

Social Media Manager: Sarah Latcham

  • Release newsletters monthly after ticketing released for upcoming event NB: ideally release newsletter minimum two weeks prior to upcoming event, but this isn’t always possible due to waiting for information from hosting business 
  • Keep Facebook updated regarding upcoming events 
  • Update Facebook after event NB: night of event is ideal, otherwise within 2 days of event.
  • Assist at events i.e.: check-in members; sell raffle tickets; obtain business cards; remain at end of event to help hosting business clean up.
  • Answer Messenger queries on Facebook

Web Master & General Member: Natalie Fogarty

The role of the Web Master is to maintain website.

  • Content Creation & Publication. Develop, maintain, and update the website to ensure it reflects current information, events, and initiatives.
  • Technical Maintenance. Handle technical aspects of the website, including domain registration, hosting, and troubleshooting any issues that arise.
  • SEO Optimise website content for search engines to improve visibility and attract more visitors.
  • Analytics and reporting. Provide regular reports to the committee on website performance, including insights and recommendations for improvement.
  • Training and support. Serve as a point of contact for inquiries related to the website and assist users as needed.
  • Keep website within Branding Guide;lines
  • Ensure all automations run.
  • Complience Regulation: Ensure the website complies with relevant regulations and standards, including data protection laws

The role of General Committee Member is to support the Chair and the Secretary in ensuring that the organisation/corporation runs smoothly.

  • Attendance at meetings

Never one to jump into things too quickly, over the past couple of years I have been an observer on the sidelines. I took advantage of the option of paying for the monthly events which appealed to me, rather than becoming a member. However last year I found myself drawn to the diversity of monthly businesses hosting the events, and found that the calibre of women attending covered a range of different social, business and charity supporters – so I happily became a member and have enjoyed each event and learning about new business women in the region. The multidraw raffles and hosting at different venues has really been enjoyable. Membership fees are so reasonable and there is no pressure – a very enjoyable and relaxed socialising opportunity. Women on the Move welcomes all ages, faiths, heritage and business interests. Its actions reflect its Founders’ vision, and the feeling of the current committee is one of genuine support and networking to move it forward through its next 20 years. Glad I moved from the sidelines.
